Log and send email from a record

Updated October 31, 2026 · Applies to Platform ONE 1.34

With email sync, the emails you exchange with your organization's contacts appear on their record, such as a contact, a customer or a project's client. You can also write to them from there; the email leaves through your own mailbox and stays in your sent items.

Only emails with a contact on record are kept. Nothing else in your mailbox is stored, and emails between colleagues are never logged. Attachments are listed by name, not copied.

Prerequisites

  • Your administrator has turned on email sync. It needs the Professional edition.
  • Your calendar is connected. See Connect your calendar.

Switch on email sync

  1. On My profile, under Email sync, select Allow access and switch on, and allow access when you're asked. If you already allowed it, select Switch on email sync.
  2. Under Signature for emails you write from a record, enter your signature, and then select Save signature. Your mail program doesn't add its signature to emails written here.

To stop, select Switch off email sync. Your mailbox is no longer read.

See emails on a record

Open the record. Under Emails, you see the emails your colleagues and you exchanged with the contact. Who can see them follows who can see the record.

Write or reply

  1. Under Emails, select Write an email, or Reply on an email.
  2. Choose who it goes To, and, if you like, a Template.
  3. Enter or change the Subject and Message. Your signature is added under it.
  4. Select Send.

Keep emails off a record

  • To remove one email, select Remove and don't log on it. It won't be logged again.
  • To stop logging your emails with a contact, select Don't log my emails with this contact. The ones from your mailbox are removed. To start again, select Log my emails with this contact again.
