BookIt ONE user guide overview
Updated October 31, 2026 · Applies to BookIt ONE 1.34
BookIt ONE handles appointments. Your customers book online, or your staff book for them, and everyone sees the day ahead on the calendar. Your organization may use its own word for customers: for example, in a medical office, customers might be called Patients.
For signing in, the menu and your profile, see the Platform ONE user guide.
Key capabilities
- Today and Calendar: the day's appointments, per staff member, room and piece of equipment.
- Book for a caller: find or create the customer and book them in a few steps.
- Manage appointments: check in, complete, mark a no-show, reschedule or cancel.
- Approvals: approve or decline requests for services that need staff approval.
- Reports: volume, no-shows, utilization and busiest times.
- Online booking: customers book, reschedule and cancel themselves, and get reminders.
How it works
A service is what customers book: how long it takes and which staff, rooms or equipment it needs. An appointment is offered only when everything the service needs is free, outside time off and public holidays. Some services need staff approval: the time is held as a request until someone approves it.
Who can use it
| Role | What they do |

| Staff | See their own appointments, check customers in, complete them or mark a no-show. Customers' contact details are hidden. |
| Customers | Book online, and manage their own appointments and profile. |
Reports is for managers and administrators.
