Roles and access

Updated October 31, 2026 · Applies to Platform ONE 1.34

Your roles decide which pages you see and what you can do on them. Your administrator gives you one or more roles. With several roles, you get the combined access of all of them. Access is checked for every request, not only hidden on the screen.

The roles

Role What it's for
Admin Everything, including the Administration pages.
Manager Runs the day-to-day work and sees reports, for one location or all of them.
Reception Front desk: finds and creates customers and works on their behalf.
Staff Your own work.
Designer Studio only: builds changes to fields, messages, forms and workflows for review.

Each product's user guide explains what each role can do there.

Locations

An administrator can limit a manager or a receptionist to one location. They then see only that location's work.

Your manager

Who approves your requests, such as time off, follows your organization chart, not only your role: your direct manager, or, without one, the lead of your team, then the managers of your location, then the administrators.

See your access

Your roles and location are on My profile, under Your access. To change them, ask your administrator. If you open a page you don't have access to, you see Access denied.
