Share and reassign records
Updated October 30, 2026 · Applies to Stakeholder ONE 1.3
Give other people access to an account, stakeholder or project that they can't see yet, or hand a record over to someone else. For how access works, see Records, ownership and sharing.
Prerequisites
- To share: you own the record, and your role allows sharing. The Project Manager, Projects Admin and System Administrator roles can share.
- To reassign: you own the record, or you're an administrator.
If you don't see Share or Reassign owner on a record, you don't have permission.
Share a record
- Open the record, and select Share.
- Choose User or Team, and then select who to share with.
- Under Access, choose Can view or Can edit.
- Select Add.
- Select Done.
The people you shared with can now find the record in their lists and search. Sharing with a team gives access to everyone in the team, including people who join it later.
Stop sharing
- Open the record, and select Share.
- Select Remove next to the person or team.
- Select Done.
Reassign a record to a new owner
When someone else takes over responsibility, make them the owner.
- Open the record, and select Reassign owner.
- In Reassign to, choose the new owner.
- Select Reassign.
The new owner gets full control of the record. If you no longer have access through your role or a share, the record disappears from your lists.
