Import and export data

Updated October 30, 2026 · Applies to Stakeholder ONE 1.3

Bring your existing accounts, stakeholders and projects into Stakeholder ONE from CSV files, for example exported from a spreadsheet or another system. You can also export your current data to CSV. Open the page from your avatar menu: select Data import & export.

Prerequisites

  • The System Administrator role, or a role with the Import & export data permission.
  • Your data in a CSV file with a header row.

Tip

Import in this order: accounts, then stakeholders, then projects. Stakeholders and projects can refer to an account by its name, so the account must exist first.

Prepare your file

  1. Under Record type, select Accounts, Stakeholders or Projects.
  2. Select Download template. The template has a column for every field you can import, including your custom fields, with an example row.
  3. Fill in your data, and save the file as CSV (UTF-8).

These fields are required:

Record type Required fields Matched on when updating
Accounts Name Name
Stakeholders Name, Role, Email Email
Projects Title, Start date (YYYY-MM-DD) Code

Fields can also be required because an administrator made them required under Required fields.

Import a file

  1. Under Record type, select the type of record.
  2. Select Upload CSV, and choose your file. Stakeholder ONE shows how many rows and columns it found.
  3. Under Map columns, check that each field is matched to the right CSV column. The Sample column shows a value from your file. Fields marked required must be matched. Columns you don't map are ignored.
  4. To update records that already exist instead of creating duplicates, turn on Update existing records. Existing records are found by the field shown in the table above.
  5. Select Validate (dry run). Stakeholder ONE checks every row without saving anything, and shows how many records would be created, updated or skipped.
  6. If any rows would be skipped, the table lists each Row, Field and Problem. Fix them in your file, and upload it again.
  7. When the dry run is clean, select Import N rows, where N is the number of rows in your file.

The result shows how many records were created, updated and skipped. Select Import another file to continue with the next file.

Export data

  1. Under Record type, select the type of record.
  2. Select Export current data.

Your browser downloads a CSV file with all the records of that type that you can see.
