Add custom fields

Updated October 30, 2026 · Applies to Stakeholder ONE 1.3

Capture information that the built-in forms don't cover, such as a contract number or a region, by adding custom fields to accounts, stakeholders and projects. You manage them on the Custom fields & picklists page: select your avatar, and then select Custom fields.

Prerequisites

  • The System Administrator role, or a role with the Administer permission.

Field types

Type Use it for
Text A short single line, such as a reference number.
Text area Longer notes over several lines.
Number Quantities and amounts.
Date A calendar date.
Checkbox Yes or no.
URL A link to another system or document.
Select (picklist) One value from a list you define.
Multi-select (picklist) Any number of values from a list you define.

Create a picklist

Select and multi-select fields take their options from a picklist. You can reuse one picklist in several fields.

  1. Select the Picklists tab, and then select New picklist.
  2. Enter a Name and, optionally, a Description.
  3. In Options — one per line, enter each option on its own line.
  4. Select Create.

Create a custom field

  1. On the Custom fields tab, select New field.

  2. Enter the following information:

    Field Description
Applies to Account, Stakeholder or Project. You can't change this later.
Label The field name users see.
Type One of the field types.
Picklist For select types only: the picklist that supplies the options.
Help text Optional guidance shown with the field.
Visible to Everyone, Managers & admins, or Admins only. Users who can't see a field can't change it either.
Position The field's order among the custom fields. Lower numbers appear first.
Required Turn on to make users fill in the field before they can save.
Active Turn off to hide the field without deleting it.
  3. Select Create.

The field now appears on that type of record, and is available in data import.

Edit or delete a custom field

  • To change a field, select Edit on its row. You can change everything except Applies to and the field's internal key.
  • To delete a field, select Delete on its row, and confirm. Values already entered are kept but no longer shown. To hide a field temporarily, turn off Active instead.

Make built-in fields required

Some built-in fields, such as a record's name, are always required. You can require more:

  1. Select the Required fields tab.
  2. Turn on Required for each built-in field that users must fill in.

Your choices apply both to the forms in the app and to CSV imports.
